Position Overview:
We are seeking a dedicated Athletics Facility Coordinator who plays a key role in the day-to-day operation of the Barrie Campus Athletics Centre, ensuring a safe, welcoming, and well-functioning environment for students, staff, and community users. The incumbent provides front-line operational oversight, while coordinating facility use (including turf field and ball diamond), equipment readiness, and service delivery standards. The coordinator supports the recruitment and onboarding of student staff, contributes to staffing plans, participates in interviews, and provides ongoing orientation, training, and guidance to facility staff. They are responsible for coordinating cleaning, maintenance and equipment purchasing, inventory control, and preventative maintenance plans, ensuring equipment is safe, functional, and aligned with program needs. The role also oversees and troubleshoots operational systems, including point-of-sale and inventory management tools, as well as controlled access and security systems, working closely with internal partners to resolve issues and support uninterrupted service delivery.

Key Responsibilities:
• Oversees the day-to-day operations of the Georgian College Barrie Campus Athletic Centre, including turf field, and ball diamond, ensuring facilities are safe, functional, and operationally ready.
• Coordinates and monitors cleaning, and preventative maintenance activities across all athletic facilities, working closely with Facilities Services and external contractors to address deficiencies, prioritize work orders, and support long-term asset sustainability.
• Develops and manages operational schedules for student staff, ensuring appropriate coverage to support facility operations, events, varsity activities, and external rentals.
• Leads the recruitment, onboarding, training, and supervision of student staff assigned to athletics facilities, providing direction on operational procedures, safety protocols, and facility standards.
• Manages athletic facility bookings, rentals, and usage schedules, balancing academic programming, varsity athletics, intra/extramurals, and external user groups while ensuring compliance with college policies, contracts, and risk management requirements.
• Oversees facility setup, changeovers, and takedown for practices, competitions, events, and rentals, ensuring spaces are configured according to operational and safety standards.
• Coordinates the procurement, inventory control, and maintenance of equipment, ensuring equipment is tracked, stored appropriately, and maintained in a safe and serviceable condition.
• Monitors and troubleshoots operational systems including access control, facility scheduling platforms, and inventory management systems, escalating issues as required to ensure continuity of operations.
• Ensures compliance with health and safety regulations, risk management practices, and emergency response protocols, supporting a safe environment for all facility users.
• Supports long-term facility planning by identifying operational risks, maintenance trends, and opportunities for efficiency, providing input into capital planning and operational improvements.
• Support turnstile/card access software system that uses the College student card and/or membership card for access to the facilities.
• Responsible for the safety and maintenance of the facility including change rooms, washrooms and public areas in addition to the gymnasium area (bleachers, score clocks and flooring etc.), ball diamond and turf field. This includes overseeing the laundry and cleaning services.
• Responsible for scheduling and monitoring Physical Resources staff and outside contractors to repair/maintain the equipment and building.
• Coordinate special events in the Athletic Centre which includes varsity home games, College supported events such as Open House, and facility rentals from community groups.
• Ensures all student staff are oriented on the safe use of equipment and chemicals.
• Support annual Athletic Facilities Budget which includes facility maintenance and staffing expenses, equipment purchases, supplies, cleaning contracts etc. Monitor expenses and accounts monthly.
• Create cheque requisitions, purchase orders, and community invoices. Track revenue generation and deposits.
Qualifications:
• Successfully completed a three-year postsecondary diploma/degree in a relevant field of study that may include, but is not limited to Sports and Recreation, Facility Management or Business.
• Three years practical experience in a service-oriented environment within an Athletic Centre.
• CPR, First Aid and AED Certifications are required.
• Strong financial and Human Resources skills are required.
• Computer skills in Microsoft Office and experience with a point-of-sale system
• Excellent communication skills (written and oral) to develop and maintain relationships with other employees, students, and staff
• Experience providing functional guidance to staff and students
• Ability to work independently with initiative
• Time management and organizational skills to balance deadlines and tasks in an environment with multiple interruptions
• Working at Heights certification and Mobile Elevating Work Platform (Scissor Lift) training – considered an asset
• You will be required to work evenings and weekends to support events as required and communicated by Manager.
