Sales Coordinator
The Sales Coordinator is responsible for providing comprehensive administrative support to the Sales department at The Knickerbocker Hotel. This role focuses on the accurate and timely execution of daily sales-related tasks to ensure the smooth operation of the department and effective support of the Sales Managers and Directors within the department. Key responsibilities include preparing and distributing sales contracts and documents, maintaining files and databases, entering and updating account information, generating reports, preparing group commission payments and expense reports, coordinating internal communications, and responding to routine client inquiries. The Sales Coordinator assists with the organization of sales, marketing and event activities, tracking deadlines, and ensuring follow-up items are completed in a timely manner. This position requires a high level of organization, attention to detail, and the ability to manage multiple tasks simultaneously in a high demand environment. The Sales Coordinator will work collaboratively with internal departments and our corporate office team to support all business needs and contribute to overall departmental efficiency. Additional administrative and operational duties may be assigned as needed to support the ongoing business requirements of the Sales department. Assist sales team with administrative duties associated with group, transient and event sales including but not limited to sales/PMS system inputs, lead response/proposals, contracting, turnover, and billing. Support with BEO creation, group commission processing, VIP reservation and amenity requests, and other related tasks as assigned Assist with coordination of marketing activities as needed and directed by leadership. Respond to and follow-up on emails and/or new requests in a timely fashion. Maintain trace files and other master or client facing documents as needed. Maximize efforts towards productivity, identify problem areas and assist to implement solutions. Assist with other required daily sales, marketing, and group servicing activities and operations. Attend all required meetings and trainings. Perform other duties as requested by management. Qualifications
Minimum one year experience in upscale/luxury hotel in a high-volume hotel or related field preferred. Front Office experience desirable. College degree/course work in related field preferred. Computer knowledge/skills - must be proficient in Word, Excel, Power Point, Outlook, Teams, and other relevant programs. Experience managing/using sales automation & PMS systems
Delphi and Opera highly desirable. Excellent written and verbal communication skills. Strong interpersonal skills and ability to work in a team environment. Communication
An active listener with both verbal and written skills in an attentive, friendly, courteous and service-oriented manner. Multitask and prioritize departmental functions to meet deadlines. Organizational Skills - Ability to determine priority tasks and maintain strong attention to detail. Effective in managing challenges, including anticipating, preventing, identifying and solving problems as necessary. Understand and apply complex information, data, etc. from various sources to meet appropriate objectives. Maintain confidentiality of information at all times. Ability to show initiative, including anticipating guest or operational needs. Flexible and long hours sometimes required. Maintain a warm and friendly demeanor at all times.
