Reporting to the Lead Maintenance Coordinator, this position is responsible for the daily update and coordination of repairs to heavy equipment to minimize downtime and maintain corporate standards. They will oversee the daily repair logs and communicate directly with the Maintenance Foreman.

Work Site Location: Ft. McMurray, Alberta DIDO roles available

Responsibilities

Roles and Responsibilities

  • Provide daily administrative support to field teams from the site office, ensuring all maintenance and equipment documentation is accurate and submitted on time.
  • Perform high‑volume and precise data entry for work orders, maintenance logs, equipment hours.
  • Maintain and update digital filing systems, spreadsheets, and OneDrive folders to ensure real‑time visibility for field supervisors.
  • Review, validate, and correct documentation received from Foremen and Technicians, including repair logs, time sheets, inspection sheets, and equipment reports.
  • Assist field personnel with computer‑based tasks such as completing online forms, uploading documents, and navigating internal systems.
  • Coordinate daily with Foremen and Maintenance Supervisors to confirm priorities, communicate updates, and prepare required reports.
  • Support the maintenance planning process by organizing schedules, tracking outstanding work orders, and monitoring incoming/outgoing equipment documentation.
  • Compile and distribute daily site reports and ensure all administrative duties align with client requirements and company standards.
  • Maintain an organized site‑office environment, ensuring documentation, digital tools, and reporting resources are easily accessible to field employees.
  • Coordinate and facilitate site and team meetings.
  • Leads by example and upholds safety as our highest priority.
  • Other duties as required.
Qualifications

Requirements

  • Minimum 2 years experience in maintenance/parts related role to have some mechanical knowledge of heavy equipment.
  • Excellent skills in Excel combined with intermediate skills in MS Office.
  • Ability to manage heavy workloads with multiple priorities.
  • Must be willing to travel, typically working 12 hours per day on a 14/14 rotational schedule depending on requirements.
  • Possess strong communication skills.
  • Attention to detail and ability to work under pressure with strict deadlines.
  • Highly organized.
  • Class 5 License
  • Willing to stay in camp
