Primary Accountabilities
Interview Coordination & Logistics
- Partner with recruiters and hiring managers to schedule phone, video, technical, and onsite interviews across multiple roles and businesses using Paradox.
- Manage complex interview logistics, including panel scheduling, calendar management, candidate communications, and interview scheduling.
- Support candidate interview logistics by sharing travel information and handling interview expense reimbursement submissions, ensuring a smooth and positive candidate experience.
Background Check Process Management
- Manage the background check (BGC) and Motor Vehicle (MVR) process after initiation, tracking status, timelines, and completion.
- Notify recruiters of approval and anticipated completion dates, escalate delays or issues, and communicate approved BGC exceptions.
ALTA Bilingual Testing
- Initiate ALTA tests for candidates, monitor completion, record results in Workday, and communicate outcomes to recruiters and hiring managers.
Hire and Pre-Onboarding
- Process hires in Workday by reviewing and validating required data throughout the hiring workflow to ensure accuracy and compliance.
- Provide candidates with first-day details and onboarding instructions to facilitate completion of onboarding documentation.
Relocation Coordination
- Enter and maintain Cartus relocation details in Workday following hire completion.
High-Volume Hiring
- Coordinate and process high-volume group interviews and large-scale hiring projects, ensuring accurate scheduling, communication, and Workday hire processing.
Administrative Operations
- Be a first contact for questions regarding administrative resources, issues, or support needs related to department/divisional programs.
- Assist management team and direct reports in the administration of standard processes; develop documentation to support department/division program administration.
- Help with development, coordination, and maintenance of program materials, including online resources.
Specialized Knowledge and Skills Requirements
- Demonstrated experience providing customer-driven solutions, support or service
- Basic knowledge and understanding of human resource and talent strategy programs
- Demonstrated experience handling confidential information in a functional support role
- Demonstrated experience preparing reports, charts, and presentations

In this hybrid role, you will be expected to work a minimum of 10 days per month out of one of the offices: Madison, WI , Hopkins, MN , or Denver, CO
