Role Summary:
The Billing and Inventory Clerk is responsible for supporting office and warehouse operations through accurate inventory management, billing, and accounts receivable activities. This role coordinates order processing and shipping, maintains detailed records, prepares and issues invoices, and ensures customer accounts are accurately billed and reconciled. Working closely with internal teams and external carriers, the role contributes to efficient operations, timely delivery of goods, and strong financial controls in a fast-paced environment.

Key Accountabilities:
In this role, you will:
- Manage inventory systems and ensure accurate tracking of incoming and outgoing products.
- Oversee processing and shipping of orders from start to finish.
- Coordinate with shipping carriers to ensure timely delivery and pickup.
- Maintain accurate records and generate regular reports.
- Collaborate with billing, customer service, and other departments to support operations.
- Prepare, issue, and maintain customer account documentation (invoices, bills, inventory records, reports).
- Process and adjust customer payments in accounts receivable systems.
- Reconcile sales orders with shipping documentation.
- Follow up with delinquent accounts via email or phone and support payment arrangements.
- Review financial data, correct discrepancies, and reconcile accounts.
- Prepare and distribute invoices, applying special rates or discounts as required.
- Keep bullets action-oriented - verbs like coordinate, support, lead, maintain, optimize, execute
Qualifications
We're looking for someone who brings:
Education & Experience:
- High school diploma or equivalent
- 1-2 years of experience in similar role
- Proficiency in Microsoft Office
- Familiarity with inventory management systems
- Strong analytical and problem-solving skills
- Excellent communication and organizational skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
