The Business Office Manager for the clinics plays a crucial role in overseeing the financial and administrative functions of the department while also ensuring efficient and compliant operations. This multifaceted role involves managing finances, supervising staff, optimizing administrative procedures, and maintaining strong relationships with patients and healthcare providers. The ideal candidate possesses strong organizational, communication, and leadership skills, along with a solid understanding of healthcare regulations and financial management practices.
Job Purpose:
Responsible for overseeing all functions related to clinic revenue cycle support. This includes supervising registration, scheduling, upfront collections, charge capture, and coordinating with other departments. This position serves as a liaison between billing, clinical departments, and the Revenue Cycle Director.
Position Responsibilities:
* Oversee all business office operations, including registration, insurance verification, billing support, cashiering, and collections for 22 clinics and multiple nursing home and assisted living providers.
* Respond timely and effectively to billing staff inquiries regarding claim edits, denials, coding issues, and insurance follow-up.
* Maintain strong communication and coordination with other clinic departments and corporate revenue cycle teams.
* Supervise and train staff to ensure performance standards, regulatory compliance, and departmental goals are met.
* Develop, implement, and maintain policies and procedures to guide the business office team.
* Standardize workflows across clinics to ensure consistency, efficiency, and best practices.
* Review daily census and unbilled reports to identify and resolve discrepancies.
* Participate in hiring, onboarding, and performance management of business office personnel.
* Conduct regular staff meetings, training sessions, and performance evaluations.
* Support quality improvement initiatives and contribute to operational and financial goals.
* Perform other duties as assigned by the Administrator/CEO or Director of Revenue Cycle Operations.

Minimum Level Qualifications
Education:
* High School Diploma or equivalent required. Prefer 4 year degree in Business, Finance or Hospital Administration.
Experience:
* Minimum of 2 years of supervisory or managerial experience in a clinic or healthcare business office setting.
Physical Demands:
* Prolonged periods of sitting at a desk and working on a computer.
* Frequent use of hands and fingers to operate computer equipment.
* Must be able to lift up to 20 pounds occasionally.
Skills and Qualifications:
* Strong analytical and problem-solving skills.
* Excellent verbal and written communication.
* Ability to lead and motivate a diverse team.
* Detail-oriented with strong organizational skills.
* Proficiency with hospital information systems, electronic medical records (EMR), and billing software.
