The Corporate Executive Assistant provides high-level administrative, operational, and strategic support to multiple senior executives. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities across leadership teams. The ideal candidate is proactive, detail-oriented, and comfortable operating in a fast-paced, confidential corporate environment.
Key ResponsibilitiesExecutive Support
- Provide direct administrative support to multiple executives, including calendar management, meeting coordination, and travel arrangements
- Anticipate executive needs and proactively manage priorities and deadlines
- Prepare executives for meetings by organizing agendas, briefing materials, and follow-ups
- Serve as a primary point of contact between executives and internal/external stakeholders
Calendar, Meetings & Travel
- Manage complex calendars across multiple executives, resolving conflicts and prioritizing meetings
- Coordinate domestic and international travel, including itineraries, accommodations, and expense reconciliation
- Schedule and support executive meetings, board meetings, and leadership sessions
Communication & Documentation
- Draft, edit, and manage professional correspondence, presentations, reports, and internal communications
- Take accurate meeting notes, track action items, and ensure timely follow-up
- Maintain organized electronic and physical filing systems
Operational & Project Support
- Assist with special projects, cross-functional initiatives, and executive-level programs
- Track deliverables, timelines, and priorities across multiple executives
- Support onboarding and offboarding activities for executive-level hires
Confidentiality & Professional Judgment
- Handle highly confidential information with discretion and sound judgment
- Represent the executive team with professionalism and diplomacy
- Maintain trust-based relationships across departments and leadership levels
- 5+ years of experience supporting senior executives in a corporate environment
- Proven experience supporting multiple executives simultaneously
- Exceptional organizational, time-management, and multitasking skills
- Strong written and verbal communication skills
- High level of professionalism, discretion, and emotional intelligence
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience with calendar and scheduling tools (Outlook, Google Workspace, etc.)
- Comfortable learning internal systems and executive workflow tools
- Experience supporting C-level executives
- Background in fast-growing or multi-entity organizations
- Project coordination or operations experience
- Ability to manage shifting priorities with minimal supervision
- Strong attention to detail and follow-through
- Proactive problem-solving mindset
- Professional presence and executive-level communication skills
