Responsibilities

  • Greet visitors warmly, verify appointments, and direct them appropriately to ensure a positive first impression
  • Manage multi-line phone systems efficiently, answer inquiries promptly, and route calls accurately using professional phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Maintain organized files, data entry records, and filing systems to support office operations
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Support office management tasks such as ordering supplies, maintaining cleanliness, and ensuring the front desk area is welcoming

Skills

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Exceptional customer service skills with professional phone etiquette and the ability to handle multiple phone lines smoothly
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with data entry, proofreading, filing systems, and calendar management is preferred
  • Familiarity with medical or dental receptionist duties and personal assistant experience is a plus
  • Knowledge of office equipment such as multi-line phones, printers, scanners, and basic bookkeeping software like QuickBooks
