Overview
We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our team. As the Scheduling Coordinator, you will be the central point of contact for managing service appointments, dispatching technicians, and ensuring smooth daily operations. Your excellent communication and problem-solving skills will be crucial in providing outstanding customer service and maximizing the efficiency of our repair services.
Responsibilities
- Answer incoming phone calls and emails from customers, providing information about our services and scheduling appointments.
- Efficiently schedule and dispatch appliance repair technicians based on their availability, skills, and geographic location, optimizing routes for efficiency.
- Maintain and update the daily and weekly technician schedules, making adjustments as needed due to cancellations, reschedules, or urgent service requests.
- Confirm appointments with customers and provide them with estimated arrival windows for their service appointments.
- Communicate effectively with technicians regarding their daily schedules, providing necessary job details and updates.
- Track technician progress and ensure timely completion of service calls.
- Manage and update customer records in our scheduling system with accurate information regarding appointments, service history, and notes.
- Handle customer inquiries and resolve scheduling conflicts or issues in a professional and timely manner.
- Collaborate with other team members, including technicians and management, to ensure seamless service delivery.
- Maintain organized records of schedules, dispatches, and related documentation.
- Assist with other administrative tasks as needed.
Experience
- High school diploma or equivalent; Associate's degree preferred.
- Proven experience in a scheduling, dispatching, or customer service role, preferably within a service-based industry.
- Excellent organizational and time-management skills with the ability to prioritize tasks and manage multiple schedules simultaneously.
- Strong communication skills, both verbal and written, with a professional and customer-focused demeanor.
- Proficiency in using scheduling software and basic computer applications (e.g., Microsoft Office Suite, Chrome, Windows).
- Ability to remain calm and problem-solve effectively in a fast-paced environment.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Familiarity with the Spokane Valley area is a plus.
- Keyboard shortcuts (ctrl+c ctrl+v ctrl+a ctrl+z)
- Type 40 words per minute at minimum.
- Computer experience (powering on, use of two screens, tabs, internet browser, data entry)
- Basic Appliance knowledge (Fridge, Range, Ice Maker, Trash Compactor, Oven)
