Responsibilities
- Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Manage calendar appointments, schedule meetings, appointments, and coordinate events to optimize team productivity.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and invoicing purposes.
- Handle clerical duties such as filing, proofreading documents, and organizing office supplies to ensure an efficient workspace.
- Provide exceptional customer support via phone or email, addressing inquiries promptly and professionally.
- Assist with office management tasks including inventory control, supply ordering, and maintaining a clean and organized environment.
Qualifications
- Proven experience in an office setting with strong clerical skills and familiarity with office management procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy.
- Experience with QuickBooks or bookkeeping software is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong communication skills including bilingual abilities are a plus; must demonstrate professional phone etiquette.
- Previous experience as a receptionist or medical/dental receptionist is advantageous.
- Demonstrated ability to handle multiple responsibilities such as data entry, filing, proofreading, and calendar management efficiently.
