The Role:
As a Patient Services Representative, you are the first person clients see, hear, or speak with when they reach out for care. You'll welcome patients and visitors in a warm, professional manner, help them navigate our office, and ensure they feel comfortable and respected from the moment they arrive.
In this role, you'll manage the reception area and phone system, schedule and update appointments, and use our electronic systems to keep records accurate and clinic operations running smoothly. You'll handle confidential patient information, assist with forms and documents, and help ensure the lobby and front office stay organized and welcoming.
This position is a great fit if you enjoy connecting with people, staying organized in a professional setting, and supporting a mission-driven mental health team. Bilingual fluency in English and Spanish is essential, as you will communicate with many patients in their preferred language.
What You'll Do:
Every day, you'll help create a welcoming, supportive experience for the clients who walk through our doors. Here's how you'll show up in this role:
*Welcome & Support - Be the first friendly face clients meet. Help them check in, feel comfortable, and know they're in the right place.
*Manage the Flow - Answer phones and emails, schedule appointments, and keep things running smoothly at the front desk.
*Keep Us Organized - Update records, handle paperwork, and use our EHR system to make sure information is accurate and up to date.
*Protect Privacy - Handle confidential information with care and follow HIPAA guidelines to keep our clients safe and supported.
*Create a Great First Impression - Keep the lobby tidy, stocked, and welcoming so everyone feels cared for from the moment they arrive.
*Stay Flexible - Jump in where needed, support team members, and help keep the office moving on busy days.
*Help During Emergencies - Remain calm, share information clearly, and help direct clients and staff if an urgent situation arises.
What You'll Bring:
You do not need to check every box to be a strong candidate. We are looking for someone compassionate, grounded, and eager to grow.
- A high school diploma or GED — no college degree required
- Bilingual communication skills — you speak clearly, listen well, and support clients confidently in both English and Spanish
- A customer-service mindset — you enjoy helping people and creating a welcoming first impression
- Comfort with technology — you feel confident using computers, phones, and digital tools (or you're excited to learn)
- Calm under pressure — busy days or tough moments don't rattle you; you stay steady and professional
- Detail-oriented & organized — you can juggle tasks, prioritize well, and keep things moving smoothly
- A quick learner — you pick up new systems, processes, and skills with ease
Bonus points if you have
- Previous experience scheduling patients in a medical office or hospital setting
- Associate's degree in psychology, communications, business, or a related field preferred.
- QMHA certification
- Experience with multi-line phones or front desk work
- Experience in healthcare, mental health, or social services
- Familiarity with Google Workspace or electronic health records
