We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive support to ensure efficient operation of the office. This role requires a proactive individual with strong time management skills and the ability to handle multiple tasks simultaneously. The Administrative Assistant will serve as the first point of contact for visitors and clients, making a positive impression while managing various clerical duties.

Duties

  • Greet and assist visitors at the front desk, ensuring a welcoming environment.
  • Manage calendars, schedule appointments, and coordinate meetings for team members.
  • Perform clerical tasks such as filing, data entry, and maintaining office supplies.
  • Proofread documents to ensure accuracy and professionalism in all communications.
  • Assist with administrative tasks as needed, including correspondence and report preparation.
  • Maintain an organized office environment by implementing effective office procedures.
  • Collaborate with team members to streamline processes and improve workflow efficiency.

Requirements

  • Proven financial admin experience. Series 65/66 - REQUIRED
  • Previous experience with Charles Schwab administration is a plus but not required.
  • Exceptional proofreading skills with attention to detail in written communications.
  • Strong front desk skills with excellent interpersonal communication abilities.
  • Proficiency in calendar management and time management techniques.
  • Familiarity with office software applications (e.g., Microsoft Office Suite).
  • Ability to work independently while also being a collaborative team player.
  • A positive attitude and willingness to learn new skills in a dynamic work environment.
