Position Summary

The Assistant Operations Manager provides strategic, supervisory, and administrative leadership across logistics, supply chain operations, and in-kind donation governance. This position delivers enterprise-level operational decision support and ensures end-to-end compliance with IRS 501(c)(3) valuation and audit requirements. The role exercises independent judgment on matters of operational significance, oversees a logistics support team, and functions as a key operational advisor to the Operations Manager, Director of Finance, and CFO. This role safeguards resource stewardship, internal controls integrity, and operational continuity across Camp Hope and Corporate operations.

Primary Duties & Responsibilities
Strategic Operations Leadership
  • Design, implement, and optimize operational workflows for logistics, warehouse management, fleet utilization, supply chain planning, and donation lifecycle management.
  • Exercise independent decision authority on vendor coordination, routing, resource allocation, procurement thresholds, and operational risk mitigation.
  • Lead operational planning cycles, forecasting processes, and cost-efficiency initiatives in alignment with organizational KPIs.
Supervision & Team Management (Executive Exemption Criteria)
  • Provide daily supervision to logistics technicians, warehouse personnel, or donation intake support staff.
  • Assign work, manage schedules, conduct performance coaching, and direct workflow standards.
  • Provide hiring recommendations, initiate corrective actions, and make influential input into promotion and termination decisions.
  • Ensure operational staff comply with all OSHA, safety, internal controls, and nonprofit stewardship standards.
In-Kind Donation Governance (IRS & Audit Alignment)
  • Serve as the organizational lead for in-kind donation governance, from intake through disposition, ensuring full documentation integrity.
  • Partner with the Director of Finance and CFO to maintain accurate valuation, reconciliation, reporting, and audit readiness for all donated goods.
  • Own the internal control environment for donation tracking, segregation of duties, evidence retention, and compliance with Schedule M, GAAP, and OIG stewardship expectations.
  • Lead quarterly reconciliation reviews, variance analysis, and corrective action planning.
  • Develop and maintain SOPs governing in-kind donation processes within DocTract.
Cross-Functional Governance & Decision Support
  • Advise Compliance and Finance leadership on operational risk, material stewardship exposures, and supply chain vulnerabilities.
  • Lead cross-departmental coordination with Support & Giving, HR, Clinical Administration, Facilities, and IT/Data Services to align material resources with programmatic demands.
  • Facilitate operational audits, risk assessments, and readiness checks.
  • Maintain authority to implement operational corrective actions without requiring constant approval.
Administrative Stewardship & Reporting
  • Prepare executive-level dashboards, performance reports, cost analyses, and donation registers for CFO and Operations leadership.
  • Approve operational expenditures within defined thresholds and manage contract/vendor compliance alignment.
  • Maintain documentation within organizational workflow systems, including ADP, SharePoint, and DocTract.
Qualifications
Required
  • Bachelor's degree in supply chain, business administration, operations management, or related field; or equivalent experience.
  • Minimum 3 years of progressive experience in logistics, supply chain, warehouse operations, or nonprofit operations.
  • Demonstrated experience supervising staff or leading operational teams.
  • Strong analytical capabilities with the ability to make decisions on complex operational issues.
Preferred
  • Experience with IRS in-kind reporting requirements, GAAP standards, or audit-facing operational roles.
  • Knowledge of OIG stewardship guidelines and Texas nonprofit fiduciary expectations.
  • Prior experience in health, human services, or veteran-serving organizations.
