Position Summary
The Accounts Payable & Administrative Coordinator is a part-time role supporting the financial and operational backbone of our restaurant group. This individual is responsible for accurately processing and coding invoices, tracking cost of goods sold (COGS), and supporting basic human resources and administrative functions. The ideal candidate is detail-oriented, organized, and comfortable working cross-functionally with culinary leadership, general managers, and vendors.
This role is critical to maintaining clean financial data, supporting operational decision-making, and ensuring timely, accurate administrative support across the organization.
Key Responsibilities
Accounts Payable & Financial Support
- Receive, review, and process vendor invoices in a timely and accurate manner
- Code invoices correctly by location, department, and category in accounting software
- Work closely with the Vice President and Culinary Director to ensure proper food, beverage, and supply cost allocation
- Collaborate with General Managers to resolve invoice discrepancies or missing documentation
- Track and organize invoices to support accurate COGS reporting
- Assist with vendor setup, documentation, and communication as needed
- Maintain organized digital and physical records of invoices and financial documents
Cost of Goods Sold (COGS) Tracking
- Assist in tracking food, beverage, and other controllable costs by concept and location
- Support leadership with clean data for weekly and monthly COGS reviews
- Help identify inconsistencies or errors in invoice coding that impact reporting
Human Resources & Administrative Support
- Assist with basic HR administrative tasks such as:
- Onboarding paperwork
- Employee file organization
- Tracking and documentation support
- Provide general administrative support to leadership as needed
- Support special projects related to operations, finance, or people management
Additional Duties
- Take on additional tasks and projects as needed to support the growing needs of the restaurant group
- Maintain confidentiality when handling financial and employee information
Qualifications & Skills
- Previous experience in accounts payable, bookkeeping, or administrative roles (restaurant or hospitality experience preferred)
- Strong attention to detail and accuracy
- Comfortable working with accounting or invoice management software (experience with restaurant accounting systems a plus)
- Ability to organize, prioritize, and manage multiple tasks across locations
- Clear and professional communication skills
- Basic understanding of food & beverage operations and cost structures is a plus
- Trustworthy, dependable, and able to handle confidential information

- Part-time position (hours flexible, based on business needs)
- Compensation commensurate with experience
