Location: Plymouth, MN (on-site M-F 8am-5pm).

Position Summary:

The role supports the front desk reception area and is often the "first impression" for visitors at Histosonics. This includes making all guests, from vendors to VIPs to new employees, feel welcome at our company headquarters. Other responsibilities include inventorying, ordering, and putting away office and kitchen supplies, coordinating conference room bookings, assisting with events, handling communication, supporting departments with administrative duties, and maintaining office organization. Essential skills include being organized, personable, and willing to adapt to a fast-paced, quickly growing work environment.

Key Responsibilities:

  • Reception Area: Greet visitors and guests upon arrival, providing a friendly and professional first impression. Ensure that all visitors sign in and follow security or safety protocols as required. Connect visitors with the appropriate employee(s).
  • Communication: Answer, screen, and forward incoming phone calls. Provide basic and accurate information to guests and callers. Coordinate incoming and outgoing mail.
  • Administrative Office Support: Provide administrative support to various departments, including scheduling meetings, coordinating conference rooms, ordering lunches, organizing required supplies.
  • Office Maintenance: Manage office supplies and restock as required. Ensure the front desk, lobby area, conference rooms and kitchen are stocked, clean, organized, and welcoming.
  • Department Support: Provide administrative support to various departments as needs arise, proactively creating process improvements and supporting the ongoing work of the organization.
  • Interview Scheduling Support: Coordinate and schedule onsite and virtual candidate interviews, ensuring smooth candidate experience and timely communication with all stakeholders.
  • Meeting and Event Support: Support sales and training events. Assist with company-wide meetings and events as needed.
  • Special Projects: Complete various projects in a timely manner as identified by the office manager.

Qualifications and Skills:

  • High school diploma or equivalent.
  • 3+ years of administrative or office support experience.
  • Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Customer service experience.
  • Strong written and verbal communication skills.
  • Friendly, professional, and adaptable in a fast-paced, growing environment.
  • Proven ability to prioritize and manage multiple tasks.
  • Able to work independently and collaboratively.
