Position OverviewDillard University seeks an exceptional and highly discreet professional for the Executive Residence & Protocol Manager role. The President's Residence is a critical dual-function space: it is both the private family home and a high-profile official venue for university business, hosting trustees, donors, and VIPs. This Manager is responsible for the seamless operation of this dynamic environment. The core mission is to manage all domestic and logistical aspects, ensuring a successful home life for the President and her elementary school-aged child, while coordinating official events. This comprehensive support allows the President to focus fully on her executive duties.
Key ResponsibilitiesI. Residential & Family Management (The Home):
- Domestic Handling: Handle all residence systems, including scheduling household maintenance and ensuring the facility remains in impeccable condition.
- Child Support Logistics: Coordinate all non-childcare-related logistics for the President's child: scheduling, transportation, school administration, and supply stocking.
- Personal Management: Manage the President's personal errands and needs, including vehicle maintenance, dry cleaning, postal/delivery receiving, and personal vendor accounts.
- Culinary & Nutrition Support: Procure groceries, stock the pantry, and plan/prepare simple, healthy family meals to ensure consistent, nourishing food options.
II. Event & Protocol Management (The Venue):
- Logistics Coordination: Serve as the primary on-site coordinator for all University events at the residence, including planning, vendor liaison, supply ordering, and setup/breakdown schedules.
- Venue Reset: Execute the swift and efficient transformation of the residence from a private home to an event venue and back. This includes the movement and replacement of furniture and decor.
- Staff Liaison: Liaise with and support contracted domestic staff (e.g., caterers, housekeepers) during events, ensuring adherence to the highest standards of presentation and Dillard University protocol.
- Inventory & Supplies: Maintain a detailed inventory of event supplies, linens, and serving ware, ensuring readiness for short-notice functions.
III. Administrative & Financial Oversight:
- Budget Management: Track and reconcile household and event-related expenditures, managing a designated budget and submitting reports to the Office of the President.
- Vendor Relations: Coordinate external vendors (e.g., landscapers, cleaners, caterers) related to the residence, ensuring efficient service delivery.
- Communication: Serve as a central, organized conduit for non-essential communication directed to the President regarding the residence or personal logistics.
- Experience: Minimum of two (2) years of professional experience in an administrative, private service, or hospitality role demonstrating strong organizational and logistical competencies.
- Discretion & Trust: Absolute professional discretion and ability to maintain strict confidentiality regarding the President's private life and University business is paramount.
- Flexibility: Must be available to work a flexible schedule, including frequent evenings, weekends, and holidays, particularly during official university events.
- Organizational Mastery: Exceptional organizational and logistical planning skills; proven ability to manage complex projects simultaneously.
- Proactivity: A self-starter who anticipates needs and resolves issues proactively with minimal instruction.
- Technology Proficiency: Proficient in standard office software (Microsoft Office/Google Suite).
- Physical Demands: Ability to perform light to moderate physical duties, including lifting and moving items up to 50 lbs.
- Experience working within an academic institution or non-profit/HBCU setting.
- Familiarity with New Orleans-area vendors and service providers.
- A background or formal training in culinary arts or professional event planning.
