Overview
We are seeking a highly organized and professional Seminar Assistant to support the coordination and execution of our educational and training events. This role offers an excellent opportunity for individuals with strong administrative, clerical, and customer service skills to contribute to a dynamic team. The ideal candidate will possess excellent office management abilities, proficiency in various computer applications, and exceptional communication skills. Bilingual abilities are a plus to assist diverse participants. This paid position is perfect for those with prior office or administrative experience looking to expand their skills in a collaborative environment.

Duties

  • Assist with the preparation and setup of seminar materials and facilities
  • Manage registration processes, including data entry and attendee tracking using tools like Microsoft Office and Google Workspace
  • Handle front desk responsibilities, including greeting participants and managing multi-line phone systems with professional phone etiquette
  • Coordinate calendar management for seminar schedules and speaker engagements
  • Support office management tasks such as filing, proofreading documents, and maintaining organized records
  • Provide excellent customer service by addressing participant inquiries and offering support via phone, email, or in person
  • Maintain accurate records of attendance, feedback, and follow-up actions

  • Proven experience in office management, clerical work, or administrative support; prior receptionist or personal assistant experience is advantageous
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
  • Exceptional customer service skills with professional phone etiquette and communication abilities; bilingual skills are a plus
  • Experience with office equipment such as multi-line phone systems and front desk operations
  • Attention to detail in proofreading documents and managing schedules
  • Ability to work independently while collaborating with team members in a fast-paced environment
  • Prior experience with bookkeeping software like QuickBooks is preferred but not required
  • Strong time management skills to handle multiple tasks efficiently

Job Type: Temporary

Pay: From $23.59 per hour

Expected hours: 3 – 4 per week
