DescriptionPublic Policy Assistant (Patient Organization & Coalition)
Location: Remote or Hybrid
Reports to: Grassroots Manager / Director of Public Policy
Employment Type: Part Time (up to 25-30 hours per week, potential for full time employment)
Position OverviewThe Public Policy Assistant supports AiArthritis' advocacy, coalition management, and public policy efforts by providing administrative, communications, and campaign support. This role works closely with internal staff, coalition partners, and volunteer advocates (AiAdvocates) to advance legislative priorities, strengthen grassroots engagement, and ensure accurate tracking and follow-up across advocacy activities.
Key ResponsibilitiesGrassroots & Campaign Support
- Assist the Grassroots Manager & Public Policy Director with advocacy campaigns, quarterly advocacy reports, letter-writing, and action alerts through platforms such as Fast Democracy, Zoho, Jotform, and Slack.
- Support the application process, continued activity tracking, and improved engagement of AiAdvocates (volunteers), in collaboration with the Grassroots Manager. This includes, but is not limited to, administrative tasks associated with our Knowledge = Empowerment Patient-Led Policy Education Program.
Coalition Support
- Assist with outreach (largely email, some texting) through our Zoho CRM platform - including patients and caregivers, patient organizations and allied groups, and legislative offices. Includes follow-up and continuous documentation.
- Update and maintain trackers (Google Sheets) for advocacy-related and coalition speaking events, legislative visits, and related activities.
- Support coordination of coalition efforts, including AiArthritis and EACH/PIC advocacy initiatives.
- Work with staff, advocates, and partners to support legislative education efforts on priority policy issues.
Communications & Social Media
- Manage and post advocacy-related content on X (formerly Twitter), Facebook, LinkedIn, Instagram, Bluesky and other platforms as needed.
- Assist with additional advocacy and coalition-related social media posts as needed.
Support promotion of advocacy events, campaigns, and policy priorities across platforms.
Events, Conferences & Speaking Engagements
- Pitching/outreach for conference panels.
- Assist with preparation for advocacy panels, conference presentations, and speaking engagements, including materials and logistics.
Data & Contact Management
- Maintain and update Zoho contact records for legislators, coalition partners, conference contacts, advocates, and other key stakeholders.
- Ensure accurate data entry and organization of contacts gathered through conferences, meetings, and outreach.
- Education - 4 year degree in communications or public policy field.
- Minimum of 2 years of experience in public policy, advocacy, government relations, or a related field. Familiarity with current public policy priorities (step therapy, PBM reform, etc.) preferred.
- Strong administrative skills with the ability to manage multiple trackers (Google Sheets).
- Strong written and verbal communication skills, including experience writing and managing email activity.
- Comfort working collaboratively with staff, advocates, coalition partners, and external stakeholders from a virtual environment.
- Familiarity with grassroots advocacy tools (e.g., Fast Democracy or similar platforms) preferred.
- Experience sharing and posting social media content for advocacy or nonprofit organizations (X, Facebook, Instagram primarily) preferred.
- Experience with CRM systems (Zoho preferred) is a plus.
- Interest in health policy, patient advocacy, or nonprofit advocacy strongly preferred.
- Self-starter with the ability to work independently in a fast-paced advocacy environment.
- Passion for patient-centered advocacy and public policy.
