Job Summary
We are seeking a highly organized and proactive individual to oversee daily office operations and ensure smooth administrative functions. The ideal candidate will possess strong communication, organizational, and management skills, with experience in office management, bookkeeping, and scheduling. This role involves coordinating various administrative tasks and the Office Administrator will play a key role in maintaining a professional and productive workplace.

Responsibilities

  • Handle bookkeeping tasks such as invoicing, expense tracking, and basic accounting using QuickBooks
  • In charge of material ordering and delivery coordination for construction projects
  • Oversee calendar management and schedule appointments for staff and subcontractors
  • Supervise companies use of scheduling software and make sure everything is up to date
  • Coordinate planning and logistics for company meetings
  • Manage the utilities for all active construction projects
  • Oversee building permit filings and documentation
  • Maintain filing systems, records management, and document organization
  • Ensure effective communication within the team
  • Assist with budgeting processes and financial reporting as needed
  • Assist with property management of rental properties where needed

Requirements

  • Proven experience in office administration or office management roles
  • Strong organizational skills with attention to detail
  • Excellent communication skills, both verbal and written
  • Experience in Construction scheduling or management
  • Proficiency in QuickBooks, calendar management tools, and construction management software such as builder trend
  • Experience in vendor management, and bookkeeping
  • Supervising or team management experience is highly desirable
  • Ability to handle clerical tasks such as filing, data entry, and front desk operations efficiently
  • Demonstrated ability to manage multiple priorities in a fast-paced environment
  • Professional demeanor with strong phone etiquette skills

Pay: $ $27.80 per hour

Expected hours: 20.0 – 30.0 per week
