We're a rapidly growing service company looking for an Office Secretary who can manage operations, coordinate technicians, and handle office duties with precision and urgency.

We are a fast-growing service company seeking a highly organized, self-motivated Office Secretary to manage daily operations, technician coordination, and office responsibilities. This is not a traditional dispatch role it is an operations-focused position that requires strong time management, problem-solving skills, and the ability to follow systems precisely.

We've experienced 54% growth this year and are continuing to expand. We're looking for someone who wants to grow with a company, can adapt quickly, and thrives in a structured, fast-paced environment.

What This Role Involves

  • Answering inbound phone calls and professionally assisting customers

  • Closing out jobs accurately and ensuring all job details are completed

  • Tracking multiple technicians throughout the day and knowing where they are at all times

  • Communicating with technicians to ensure jobs are moving efficiently

  • Calling customers back to save canceled or missed jobs using provided sales strategies

  • Following up with customers who haven't answered calls

  • Helping move technicians to the next job when issues arise

  • Ensuring company procedures are followed exactly as trained

  • Documenting clear, accurate job notes

  • Handling general office duties as assigned during your shift

  • Making operational decisions independently and escalating only when necessary

This role requires someone who can operate confidently on their own, manage multiple moving parts, and execute systems consistently without constant oversight.

Ownership, Pressure & Decision-Making

This role requires staying calm under pressure, making real-time decisions, and taking ownership of outcomes during your shift. You must be comfortable handling issues independently and confidently within established procedures, without needing constant direction or reassurance.

  • Ability to follow rules, systems, and procedures precisely

  • Comfortable receiving coaching and constructive criticism

  • Fast learner with strong retention (if you're told once or twice, you shouldn't need to be told again)

  • Responsible, dependable, and self-motivated

  • Able to adapt quickly when procedures change

  • Professional communication skills (phone, text, and written notes)

Schedule & Time-Off Policy

  • Schedule: Tuesday through Saturday, 12:00 PM – 12:00 AM

  • Up to 10 requested days off per year

  • Office closed on Christmas Eve, Christmas Day, and Thanksgiving

  • All other holidays are expected to be worked

Requirements

  • Reliable computer and internet connection

  • Quiet, professional home workspace

  • Ability to stay focused and effective during a 12-hour shift

Pay & Trial Period

  • Trial Period (First Month): $800 per week

  • After successfully meeting all performance metrics within the first month, pay increases to $1,000 per week

  • If expectations are not met within the trial period, we will move forward with another candidate
