Position Overview

ELS Properties is seeking a highly organized, proactive Executive Assistant to provide direct support to the CEO/Owner and upper-level management. This role requires exceptional attention to detail, strong technical and organizational skills, discretion, and the ability to think critically in a fast-paced real estate environment. The ideal candidate is a self-starter and critical thinker who can independently manage priorities, anticipate needs, and handle a broad scope of responsibilities spanning executive support, property operations, and business administration.

Key ResponsibilitiesExecutive & Administrative Support

  • Provide high-level administrative support to the CEO and upper-level management, including calendar management, scheduling, email correspondence, and meeting coordination using Microsoft Outlook
  • Serve as a primary point of contact between executives and internal/external stakeholders
  • Prepare, organize, and maintain executive documents, reports, presentations, and filings
  • Manage confidential and sensitive information with professionalism and discretion
  • Assist with personal errands, special projects, and ad hoc requests for executive leadership

Reporting, Spreadsheets & Office Systems

  • Prepare, maintain, and distribute monthly reports and recurring executive deliverables
  • Create, update, and manage spreadsheets, trackers, and reports using Microsoft Excel
  • Ensure data accuracy, organization, and timely reporting
  • Maintain organized digital and physical filing systems

Vendors, Contracts & Municipal Coordination

  • Communicate with vendors, contractors, and service providers on behalf of executive leadership
  • Coordinate vendor scheduling, documentation, and follow-ups
  • Assist with contract preparation, organization, tracking, and renewals
  • Complete and submit permit applications and required documentation
  • Work directly with municipalities, government offices, and regulatory agencies
  • Track approvals, deadlines, and compliance requirements

Business Operations & Accounting Support

  • Track invoices, payments, expenses, and basic accounting records
  • Assist with bill pay coordination and expense tracking
  • Support internal system implementation and administrative process improvements
  • Assist with meetings, events, and company initiatives
  • Support marketing and social media efforts as directed

Qualifications

  • 5+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior or executive leadership
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Strong spreadsheet, reporting, and organizational skills with high attention to detail
  • Experience preparing monthly reports and managing recurring deadlines
  • Ability to think critically, problem-solve independently, and anticipate executive needs
  • Proven self-starter capable of managing responsibilities with minimal supervision
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and reliability

Preferred Qualifications

  • Experience supporting C-level or upper-level management
  • Experience in property management and HOA operations
  • Experience coordinating vendors, contracts, or permits
