Job Description
The Client Services Associate is the first point of contact for our clients, prospects, vendors, and visitors - playing a key role in creating a professional and welcoming experience. This position is responsible for promptly answering and directing phone calls, managing front office operations, and ensuring all interactions reflect the firm's high standard of service.
In addition to front-desk duties, the role provides essential administrative support to Advisors, including scheduling meetings, preparing client materials, and maintaining accurate records. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment, while consistently delivering excellent service and support.
Summary of Responsibilities
- Answer the phones in a professional, positive and courteous manner
- Contribute to the appearance of the front office
- Provide total office coverage in the absence of the advisors
- Schedule meetings for advisors and manage advisors' calendars
- Help prepare for client meetings (generate meeting reports/checklists)
- Help with client incoming and outgoing mailings, deliveries and faxes
- Regularly review Commonwealth news items, technology updates, and e-mail communications; report pertinent information back to advisor
- Assist with projects, as needed
- Provide administrative support, including:
-Maintain updated client contact records using the CRM system
-Follow up on outstanding transactions with Commonwealth (e.g., transfers)
-Maintain up-to-date organized client files, including copies of all signed applications and forms, according to Commonwealth's Compliance requirements
-Maintain appropriate turnaround time on incoming items (e.g., 24 hours for checks)

- Ability to interact with people across all levels of the business
- Proficiency in Microsoft Office Suite (Word & Excel) and CRM software
Minimum Requirements
- 3 - 5 years of administrative experience or in the financial services industry
- BS/BS in Finance, Economics, or Business administration is desirable
- Knowledge of financial planning, investment products, and terminology is desirable
- This position requires full-time, on-site presence at our office
Benefits
- Salary: $60,000-$65,000
- 401(k) with 8% employer profit-sharing contribution after 1 year of service
