Job Statement/Purpose
The Program Coordinator responsibilities include working closely with the senior manager to prepare and execute comprehensive action plans, including resources, timeframes, and budgets for the operation of a project focused on creating monuments on our campus which facilitate healing for Alaska Native community members. The individual who is hired in this position will ensure that there is proper oversight of funds, including expenditure and reporting. They will also provide administrative support to the internal staff and contractors, such as community engagement, ceremony and healing events, schedule and prepare public meetings. The Program Coordinator will work with management to identify artists and other project stakeholders to contract with on identified monuments. They will prepare meeting agendas and maintain project documents. The person who fills this position will perform various coordinating tasks, administrative duties, like maintaining project documentation. To succeed in this role, individuals who apply should have excellent time management and communication skills, as you will collaborate with partners and internal teams to deliver results on a timely basis.
Essential Duties And Responsibilities
- Coordinate management activities in planning and completion of projects.
- Prioritize projects into doable actions and set timeframes.
- Communicate with stakeholders on project status and provide updates.
- Assign tasks to internal teams and assist with schedule of multiple projects
- Provide administrative support to project team and maintain documentation.
- Assist in preparation of budgets.
- Monitor project progress and timelines.
- Work with the Senior Manager to ensure the execution of the project plan.
- Monitor working hours, plans and expenditures.
- Initiate all appropriate contracts with various stakeholders.
- Create and maintain comprehensive project documentation, plans and reports.
- Ensure standards and requirements are met through conducting quality assurance.
Essential Skills
- One to three years of proven work experience as a Program Coordinator or similar role.
- Experience in project management from conception to delivery.
- Must have knowledge and understanding of Alaska Native cultures
- Must have experience and understanding of Alaska Native cultural ceremonies and healing
- An ability to prepare and interpret schedules and step-by-step action plans.
- Solid organizational skills, including multitasking and time-management are a must.
- Strong community engagement and teamwork skills.
- Strong working knowledge of Microsoft Suite (word, excel, powerpoint).
- Relevant work experience substituted for degree.
- Education, community initiatives, or professional development experience preferred.
- Have basic writing and public speaking skills.
- Be able to prepare reports in word and excel and prepare presentations in powerpoint.
- Have advanced computer skills.
- Skill in the use of copier, fax, and other office equipment.
Knowledge
- Must have knowledge and understandings of Alaska Native cultures, Alaska's history related to the historical misrepresentation of Alaska Natives and impacts of trauma through contact and colonization.
- Must have the experiences and clear ability to understand Alaska Native ceremonies.
- Must have the experience and ability to listen to community stakeholders on Healing practices.
- Have a basic understanding of ANHC's mission, direction, and history or be willing to receive training.
- Must have strong knowledge of the Alaska Native networks within the community.
Abilities
- Receive direction and guidance from senior manager and department supervisors.
- Work as a team and independently.
- Ability to problem solve individually and seek assistance from the supervisor as needed.
Other Responsibilities
- Additional duties as assigned based on the needs of ANHC.
Travel
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- The ability to travel 25% of the time
Weather
- Indoors: Primarily in an environmentally controlled office, on or off-site.
- Outdoors: Ability to work in all Alaska weather conditions.
Noise Level
- Quiet to moderate, with occasional periods of extreme loudness
Physical Requirements
- Employees are required to lift and/or move up to 30 lbs.
- Frequently required to sit, stand, walk, use hands/fingers to handle or feel, climb, stoop, kneel, crouch or crawl, talk/hear, see, taste/smell, and carry weight/lift.
