We are seeking 2 dynamic and organized Office Assistant's to join our team We have a full-time position and a part-time position open. These vital roles ensure the smooth operation of daily office activities, providing exceptional support to staff and visitors alike. As an Office Assistant, you will handle a variety of administrative tasks, manage front desk responsibilities, and contribute to creating an efficient and welcoming office environment.
Duties
- Greet visitors and manage front desk operations with professionalism and warmth
- Answer multi-line phone systems promptly, courteously, and efficiently
- Perform data entry, filing, and maintain organized records using digital and physical filing systems
- Manage calendar scheduling, appointments, and coordinate meetings for staff members
- Handle incoming and outgoing correspondence, including emails and postal mail
- Support bookkeeping tasks using QuickBooks or similar accounting software
- Assist with office supply inventory management and procurement processes
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette
- Proofread documents for accuracy and clarity before distribution
- Support administrative projects such as document preparation, proofreading, and report generation
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Demonstrated experience in office management or administrative support roles
- Familiarity with multi-line phone systems and front desk procedures
- Computer literacy with proficiency in data entry, typing, and general office software
- Experience with bookkeeping or financial record-keeping using QuickBooks is preferred
- Strong commitment to your position and being a team player
- Strong time management skills to handle multiple responsibilities efficiently
- Attention to detail for proofreading documents and maintaining accurate records
