Intake Specialist

Overview
We are seeking a detail-oriented and compassionate Intake Specialist to join our healthcare team. The ideal candidate will play a vital role in managing patient intake processes and ensuring accurate documentation within our medical practice. Prior experience with electronic medical records (EMR) systems, clinic operations and department of labor (DOL) is highly valued. Bilingual abilities are a plus, as they enhance patient interactions and support diverse populations. The Intake Specialist will contribute significantly to maintaining compliance with HIPAA regulations and ensuring smooth patient flow.

This position will begin part time with a path to full time and or hybrid work for the right candidate.

Primary Responsibilities

• Manage and oversee all inbound leads (phone, web, referrals) across three facilities
• Conduct patient intake, gather accurate demographic and injury/medical information
• Coordinate scheduling and ensure appropriate follow-up and documentation
• Serve as the lead point of accountability for intake accuracy and responsiveness
• Assist front desk/reception coverage as needed (secondary duty)
• Collaborate with case managers, providers, and front desk teams
• Identify intake trends, gaps, and workflow improvements

Preferred Quailfications

• Bilingual (English/Spanish) strongly preferred
• Prior experience in a medical office, clinic, or healthcare setting
• Familiarity with medical terminology, patient intake, or referrals
• Department of Labor (DOL) experience a strong plus
• Strong phone presence, organization, and follow-through
• Comfortable managing volume and prioritizing multiple facilities
• Tech-savvy with EMRs, scheduling systems, or intake platforms

Pay: From $25.00 per hour

Expected hours: 24.0 – 40.0 per week
