Overview
We are seeking a detail-oriented and highly organized Office Associate to join our dynamic team. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and proficiency with various office management tools. This role offers an engaging environment where multitasking and efficient workflow are essential. The Office Associate will be responsible for supporting daily operations, managing communications, and ensuring the smooth functioning of the office.

Duties

  • Greet visitors and manage front desk responsibilities with professionalism and courtesy
  • Handle multi-line phone systems, screen calls, and direct inquiries appropriately
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other software tools
  • Manage calendar appointments, schedule meetings, and coordinate events or appointments
  • Assist with bookkeeping tasks using QuickBooks and other accounting software as needed
  • Support office management tasks including proofreading documents, organizing files, and maintaining office supplies
  • Provide exceptional customer support via phone, email, or in person
  • Facilitate communication between departments and external clients or vendors
  • Perform clerical duties such as typing correspondence, managing emails, and updating databases
  • Maintain a professional appearance of the office environment and ensure adherence to company policies

Experience

  • Previous office experience or administrative support experience preferred
  • Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace applications
  • Experience with front desk operations.
  • Bilingual skills are highly desirable (but not necessary) to assist diverse clientele
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent phone etiquette and customer service skills required
  • Proven ability to manage time efficiently in a fast-paced environment
  • Experience with data entry, proofreading, filing systems, and calendar management is beneficial
  • Personal assistant or office management experience will be considered an asset

Pay: From $15.00 per hour
