Job Overview
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative, bookkeeping, and team management skills, with experience in office environments, event planning, and vendor coordination. This role requires excellent communication and organizational skills to ensure smooth office functioning and accurate financial management. The Office Manager / Bookkeeper will play a vital role in supporting administrative functions, managing schedules, and maintaining effective vendor relationships.
Duties
- Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems
- Oversee calendar management, scheduling appointments, meetings, and events
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Manage payroll processing and human resources functions such as employee records and onboarding
- Coordinate vendor management activities, including negotiations and service scheduling
- Assist with budgeting, financial planning, and expense analysis to support organizational goals
- Supervise administrative staff and provide training & development opportunities
- Maintain filing systems for both physical documents and electronic records
- Oversee medical office management if applicable, ensuring compliance with relevant policies
- Provide exceptional phone etiquette and communication to clients, vendors, and staff
- Support event planning activities for organizational functions or community outreach
Qualifications
- Proven experience in office management, bookkeeping, or administrative roles within a professional setting
- Strong proficiency in QuickBooks and MS Office Suite (Word, Excel, Outlook)
- Experience with schedule management, calendar coordination, and multi-line phone systems
- Supervising experience with team management capabilities
- Knowledge of human resources processes including payroll administration
- Ability to handle vendor relationships effectively and negotiate contracts
- Excellent organizational skills with attention to detail in filing and record keeping
- Strong communication skills—both verbal and written—and professional phone etiquette
- Experience in event planning and training & development is a plus
- Prior experience in medical office management or clerical work is advantageous
- Demonstrated ability to multitask efficiently in a fast-paced environment
