Job Summary
We are seeking a highly organized and proactive Executive Administrative Assistant – Team Success Organizer to support our leadership team and ensure the smooth operation of daily activities. This role requires exceptional office management skills, strong communication abilities, and the capacity to coordinate multiple projects simultaneously. The ideal candidate will excel in providing comprehensive administrative support, managing calendars, and facilitating team success initiatives to foster a productive and positive work environment.
Responsibilities
- Provide executive administrative support to senior management, including scheduling meetings, managing calendars using Microsoft Outlook Calendar, and coordinating appointments.
- Organize and plan company events, meetings, and team-building activities utilizing event planning skills.
- Manage correspondence via multi-line phone systems, email, and other communication channels with professionalism and excellent phone etiquette.
- Oversee office operations including filing, data entry, and maintaining organized records.
- Assist with project coordination tasks to ensure deadlines are met and objectives are achieved efficiently.
- Handle office management duties such as front desk responsibilities, customer service interactions, and managing office supplies.
- Prepare documents through proofreading, transcription, and document signing via DocuSign.
- Support personal assistant duties for executives as needed, including travel arrangements and personal scheduling.
- Maintain organizational standards by managing filing systems, data entry tasks, and ensuring office procedures are followed consistently.
Experience
- Proven experience in an administrative or clerical role with a strong background in office management.
- Prior experience supporting executives or in a personal assistant capacity is highly desirable.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools, AI tools such as ChatGPT, Grok and Perplexity.
- Familiarity with QuickBooks for bookkeeping tasks.
- Experience coordinating projects or events from inception to completion.
- Strong organizational skills with the ability to multitask effectively under tight deadlines.

Job Type: Part-time
Pay: $ $30.00 per hour
