Position Overview

An Executive Assistant to the Chief Financial Officer (CFO) provides high-level administrative and project support to facilitate the efficient operation of the finance department and the CFO's strategic initiatives. Key responsibilities include managing complex calendars, coordinating meetings, preparing confidential financial documents, and serving as a professional liaison with internal and external stakeholders, maintaining confidentiality, strong communication, and exceptional organizational skills, often requiring a deep understanding of the company's operations and interdepartmental coordination.

Major Duties and Responsibilities

· Maintaining calendars and scheduling business appointments

· Organize on-site and off-site meetings, conference calls and events involving senior executives from within and outside the company

· Responsible for scheduling weekly team meetings and following up on action item

· Answering phones and directing them to the appropriate person, taking messages or forwarding to voice mail

· Handle confidential information with the utmost discretion and professionalism.

· Track key operational tasks, ensuring deadlines and deliverables are met.

· Assist with PowerPoint presentations, including data collection, formatting, printing and distribution

· Coordinating conference calls and meetings with internal and external individuals

· Create, update and coordinate a variety of forms, letters, reports and memos

· Organizing and maintaining filing system, records and reports

· Performs position functions with a high degree of ethics and confidentiality

· Assist with analytical and reporting functions

· Monitor documents, checks and ACH payments, contracts and invoices

· Manage the CFO's expense reports

· Facilitate interdepartmental communication as needed.

· Handle other projects, duties and responsibilities as assigned

Education and Experience

· Ability to handle sensitive information with confidentiality and professionalism

· Excellent written and verbal communication skills

· Strong attention to detail and accuracy

· 3-5 years of executive experience-level administrative experience

· Proactive, resourceful, and capable of working independently with minimal supervision

· Bachelor's degree preferred

· Proficiency in MS: Outlook, Word, Excel and PowerPoint

· Familiarity with financial terminology and corporate finance operations

· Experience in a corporate, finance, or accounting environment

Job Type: Full-time

Pay: $62, $70,000.00 per year
