Role Description

This hybrid role, based in San Diego, CA, is for an Executive Assistant. The role entails managing daily administrative and management tasks, including:

1) Calendar and entity management

  • Manage and organize executive calendars
  • Handle entity management tasks: including Statement of Information filings, new entity setup, and monitoring FTB fees and filing requirements.

2) Accounting Support

  • Send invoices monthly
  • Perform credit card reconciliations
  • Manage payroll processes bi-weekly
  • Update AP trackers and upload invoices.

3) IT and Office Management

  • Organize and maintain company files and ensure appropriate employee access to folders.
  • Coordinate with outsourced IT firms to address technical issues.
  • Manage office operations: insurance, payments and ordering supplies.

4) Executive's Support

  • Book appointments, pay bills, and coordinate travel.
  • Handle orders and gift purchasing

Qualifications

  • At least 1 year of experience in similar role, with a preference for exposure to executive support, accounting, or compliance.
  • Proficiency in Administrative Assistance and Executive Administrative Assistance, demonstrating the ability to manage schedules, organize tasks, and provide reliable executive support
  • Strong knowledge of tools like Microsoft Office Suite and QBO.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong communication skills and a high level of discretion with sensitive information.
  • Proficiency in English (spoken and written).
  • Excellent time-management and organizational abilities

  • 10-15 hours per week – likely room for more in near term
  • $25-$32.5 per hr. based one experience
