Operations Coordinator

Blue Ant Media is looking for an experienced self-starter to join their Technology department as an Operations Coordinator , reporting to the Director, I.T. and Program Management.

This role is a hybrid position requiring in-office attendance at our head office in Toronto for a minimum of three (3) days per week.

Salary Range - $50,000 - $55,000

Core Responsibilities & Duties

  • Manage technology department budgets (i.e., I.T., Media Services and Master Control)
  • Process technology department purchase orders/invoices and expense reports in NetSuite, including license renewals and credit card statements (i.e., frequency can be daily, bi-weekly, monthly)
  • Process monthly internal invoices in NetSuite and follow-up with stakeholders as required.
  • Track month-to-month department operational expenses and capital expenses
  • Liaise with finance on budget forecasting
  • Track amortization of licenses over multiple fiscal years
  • Manage corporate cell phone plan, SaaS and internal software licensing
  • Facilitate and be the point of contact with 3rd party technology vendors, from creating purchase orders, receiving invoices to ensuring full payment
  • Providing comprehensive administrative support to the technology team, including travel coordination, expense management, and general operational assistance
  • Other special projects to support the department as needed
Qualifications and Experience
  • Minimum 2 years of administrative finance or technology related experience
  • Proficient in Microsoft 365, including Word and Excel (i.e., intermediate level; formulas and custom formatting)
  • Good financial understanding (budgets, P&L, POs, invoices, forecasting)
    • Comfortable handling budgets over $1 million
  • Experience with NetSuite preferred
  • Experience with handling budgets, tracking expenses, etc. is an asset
  • Must have initiative and organizational skills
  • Excellent project management and organizational skills; adept at applying new knowledge and learning to create and improve processes
  • Willingness to work effectively both independently and on a team
  • Effective communication skills both oral and written
  • Ability to multi-task a variety of functions while maintaining a high degree of accuracy
