The Manager of Records & Policies and Procedures Compliance is responsible for developing, implementing, and overseeing revisions to Board policies, procedures, and the District-wide records management program to ensure legal compliance, operational efficiency, and information security. The duties include monitoring annual processes and working with appropriate district leaders to update Board policies & procedures, managing the entire lifecycle of records (both student and public records request processes). and training staff best record-keeping practices. This role is crucial for managing risk, maintaining data integrity, and supporting strategic goals.

    Benefits- -Medical/Dental/Vision through SEBB (School Employee Benefits Board) are provided for employees who work at least 630 hours per academic year.

SALARY RANGE: $123,632 - $147,623

Responsibilities

Policy and procedure management:

  • Manage the annual review and revisions for all Board policies and procedures as directed by the Deputy Superintendent. Collaborate with other District Leaders as necessary for policy and procedures revisions.
  • Develop, update, and distribute Board policies and procedures.
  • Ensure all documentation is accurate, aligned with current regulations, and published to staff.

Records management:

  • Supervise staff processing Student Services Records Requests (SRR) and Public Records Requests (PPR).
  • Intake, process, monitor, and close out all PPRs.
  • Establish and maintain a comprehensive records management program; in compliance with State of Washington records retention schedule.
  • Oversee the storage, cataloging, retrieval, and disposition of both physical and digital records.
  • Ensure the security, integrity, and confidentiality of records.
  • Conduct regular audits of records management processes to identify areas for improvement.

Compliance and governance:

  • Ensure the organization adheres to all legal, regulatory, and organizational requirements related to record retention and fulfilling records requests.
  • Collaborate with internal departments, such as Technology and Human Resources. Work with outside legal to research legal requirements, to maintain compliance.
  • Leadership and training staff on proper records management best practices, legal requirements and policy compliance.
Qualifications
  • Demonstrated ability and aptitude to perform the responsibilities listed.
  • Bachelor's degree in information management, business, organizational management, or a related field from an accredited college or university. (This requirement may be met by a B.A. in another field and extensive related employment experience.)
  • At least five years' experience in records management, policy oversight/procedure compliance, or a related field.
  • Knowledge of how a public school district operates and is organized.
  • Knowledge of federal, and state and local laws and regulations applicable to School Districts.
  • Skill in the use of Microsoft Suite, including PowerPoint, and the Adobe Creative suite as well as other related technologies.
  • Excellent and effective oral and written communication skills, including ability to present ideas and information to groups of people.
  • Demonstrated ability to relate and work in a positive manner with a diverse group of staff and community in a confidential manner.
  • Excellent project management methods and techniques.
  • Ability to multitask and perform under tight deadlines.
  • Skilled in providing quality customer service.
  • Able to self-motivate and take initiative on projects, as well as effectively work both independently and as part of a team.

  • Work Schedule – Days and hours (listed above) are subject to change depending on program and district needs.
  • Stipends, Leave Accruals and Holidays – Stipends, leaves and paid holidays are in accordance with the applicable collective bargaining agreement Collective Bargaining Agreementsas negotiated.

When employees meet plan requirements and retire, they are guaranteed a monthly benefit for the rest of their life from the employer-funded pension.
