We're looking for a reliable and organized Office Administrator to support our management team and help streamline office operations, reporting, and documentation.
Position Summary:
The Office Administrator will play a key role in keeping our office organized and efficient. This person will assist with creating and maintaining Standard Operating Procedures (SOPs) under the direction of supervisors, help with tracking employee hours for payroll, and support various reporting and administrative tasks related to job costing, purchasing, and project documentation.
Key Responsibilities:
- Assist in writing and updating company SOPs and internal documentation under guidance from project managers and department leads.
- Collect, verify, and enter employee time records for field crews and shop personnel.
- Support weekly and monthly reporting, including job progress, material tracking, and labor summaries.
- Maintain organized digital and paper filing systems for projects, safety records, and compliance documentation.
- Assist with purchasing and vendor coordination as needed.
- Help prepare correspondence, proposals, and internal communications.
- Perform general office duties such as scheduling, ordering supplies, and maintaining records.
- Provide administrative support to management and project teams as needed.
- Other duties and activities as required by management
Qualifications:
- Prior experience in an office role within construction, manufacturing, or a related industry preferred.
- Strong written and verbal communication skills.
- Proficient with Microsoft Office (Excel, Word, Outlook).
- High attention to detail, accuracy, and organization.
- Ability to follow direction, manage multiple priorities, and meet deadlines.
- Experience with payroll entry, job costing, or construction management software is a plus.
