Core Responsibilities

Project Coordination & Documentation

  • Support multiple active projects across asphalt paving and wet utility scopes.
  • Maintain and organize project documentation, including submittals, RFIs, permits, and compliance records.
  • Prepare and distribute project meeting agendas, minutes, and action logs.
  • Assist with procurement tracking, submittal schedules, and closeout documentation.
  • Coordinate with field and office teams to ensure milestones, deadlines, and deliverables are met.

Contract & Billing Administration

  • Import and set up projects in Vista / Viewpoint and related systems.
  • Generate and process purchase orders, subcontracts, and change orders for both divisions.
  • Assist in preparing and submitting monthly pay applications using systems such as B2G, Textura, and other client billing portals.
  • Support the accurate tracking of lien releases, insurance compliance, and subcontractor payments.
  • Collaborate with accounting and project teams to manage accounts receivable and accounts payable, ensuring all transactions are timely and accurate.

Communication & Client Relations

  • Serve as a professional point of contact between project teams, clients, inspectors, and subcontractors.
  • Maintain proactive communication and follow-up with customers and internal staff under the guidance of project leadership.
  • Support project meetings and assist with documentation of decisions and commitments.
  • Demonstrate strong communication skills — particularly by maintaining clear, respectful, and responsive phone and written correspondence.

Systems & Process Support

  • Gain and maintain proficiency in our software systems, including Vista / Viewpoint, B2G, Textura, and other adopted platforms.
  • Ensure consistent use and data accuracy across all digital systems.
  • Assist in identifying workflow improvements to simplify reporting, billing, and documentation processes.
  • Participate in system training initiatives and help onboard new users as needed.

Safety, Quality & Compliance

  • Maintain awareness of jobsite safety requirements and ensure documentation is properly filed.
  • Support field teams in tracking punch lists, quality control items, and project completion milestones.
  • Gain a working understanding of CDOT and municipal specifications related to asphalt and underground construction.
  • Assist with tracking and compliance related to tax-exempt projects, permit conditions, and contract requirements.

Professional Growth & Development

  • Actively learn our construction operations — including paving, trucking, grading, underground utilities, and production workflows.
  • Seek mentorship from senior staff and take initiative to expand technical and leadership skills.
  • Demonstrate accountability, reliability, and a team-first attitude across both divisions.

Qualifications

  • Minimum 2 years of experience in construction administration or project coordination.
  • Experience with asphalt, civil, or utility construction preferred.
  • Proficient in Microsoft Office; familiarity with Viewpoint/Vista, B2G, and Textura a plus.
  • Strong communication, organization, and multitasking skills.
  • Ability to manage priorities under tight deadlines while maintaining accuracy.
  • Self-motivated, team-oriented, and eager to learn.
  • High school diploma required; associate's or bachelor's degree preferred.
  • Bilingual skills (English/Spanish) a plus.
