Walser Wealth Management is seeking a highly organized and detail-oriented Administrative Specialist to support our advisors and ensure a smooth, consistent experience for prospects and clients. This role is essential in managing communication, scheduling, follow-up, and administrative processes within our firm.

Key Responsibilities

Client & Prospect Support

  • Answer incoming office calls promptly and professionally
  • Manage advisor pipelines and move prospects through the meeting process
  • Qualify, Book and confirm appointments via phone, email, and text
  • Complete consistent follow-ups for no-shows, reschedules, and inactive prospects
  • Create and update CRM profiles and manage advisors' calendars
  • Upload and organize Zoom recordings and documentation

Meeting Preparation & Coordination

  • Send meeting links and communications
  • Update calendar statuses
  • Prepare statements, questionnaires, risk score assessments, and required forms
  • Ensure all documents are saved properly to the server
  • Support advisors with document needs and information gathering

Administrative & Office Support

  • Assist with mail, office upkeep, and restocking supplies
  • Manage sympathy cards, onboarding cards, and client packages
  • Add detailed notes to CRM after all communications
  • Support company events, seminars, and client activities (setup, confirmation calls, follow-up, etc.)

Marketing & Team Events

  • Participate in company-sponsored marketing and business development events
  • Some events require after-hours, weekend, or travel availability

Qualifications

  • Previous administrative or client service experience preferred
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Comfortable managing multiple deadlines and tasks at once
  • Tech-savvy and able to learn systems quickly (CRM experience is a plus)
  • Professional, positive, and team-oriented attitude
  • Bachelor's degree required

Job Type: Full-time

Pay: $40, $50,000.00 per year
