Responsibilities:
- Welcome guests and direct them in a friendly and professional manner.
- Answer incoming phone calls with a cheerful and professional manner; take and relay messages accurately.
- Manage daily office operations including scheduling, coordinating meetings, filing and handling travel arrangements.
- Monitor and post on the company social media accounts (Google, Linked In) and respond accordingly.
- Pick up mail, distribute and date stamp mail.
- Order and manage office supplies inventory to ensure a well-stocked workplace.
- File company documents, post and print off accounts payable reports.
- Prepare and send letters, faxes, memos, and emails as required.
- Handle petty cash as required.
- Grocery store, bank and post office trips as required.
- Provide backup support for team members on vacation or leave.
- Support general office operations and contribute to special projects as assigned.
- Strong telephone etiquette and excellent verbal/written communication skills in English.
- Proficient in Microsoft Excel and Word; comfortable handling general office software.
- A love of filing as there is a lot of it
- Show a willingness to learn and take initiative with a positive attitude.
- Strong interpersonal skills with a respectful and diplomatic demeanor.
- Highly organized and resourceful, with an ability to prioritize and manage multiple tasks.
- Flexible and able to switch between tasks quickly when priorities change.
