This is a direct hire, full time, on-site position based in Franklin Park, IL.
Position Overview:
As a Domestic Operations and Dispatch Coordinator, you will be responsible for processes and procedures used in freight forwarding activities, whiling operating within a team to coordinate, process, and manage all domestic logistics related to our outgoing business flows from our varies production facilities and 3rd party warehouses. Ensuring timely and accurate movement of freight and information, while providing exceptional customer service within the Operations Department.
Job Description:
- Arrange and manage domestic freight shipments (LTL, FTL, expedited, intermodal) from pickup to delivery.
- Schedule pickups and deliveries with carriers based on customer requirements and service levels.
- Monitor shipment status, provide real-time tracking updates, and proactively resolve transit delays or issues.
- Prepare and review shipping documentation such as BOLs, rate confirmations, and delivery receipts.
- Ensure compliance with DOT regulations and internal freight handling standards.
- Serve as a key point of contact for customers regarding orders, delivery schedules, and service inquiries.
- Communicate professionally and promptly via phone and email to provide shipment updates and resolve issues.
- Investigate and manage customer complaints or freight claims (damage, delay, loss), working with carriers to ensure resolution.
- Build strong relationships with customers by understanding their logistics needs and ensuring service excellence.
- Enter and maintain accurate shipment data in the transportation management system.
- Coordinate with internal departments including dispatch, warehouse, and billing to ensure operational efficiency.
- Verify carrier invoices against rate agreements and assist with billing discrepancies.
- Assist the lead dispatcher in daily operations and workflow management.
- Schedule and dispatch drivers for pickups and deliveries, ensuring timeliness and route accuracy.
- Communicate route changes and special handling requests to drivers as needed.
- Prepare dispatch documents, freight bills, invoices, and work orders.
- Keep detailed records of dispatch calls, driver routes, deliveries, pickups, and route changes.
- Track transportation regulations and ensure driver compliance with applicable laws.
- Examine driver log files to verify arrival and departure times.
- Log customer shipping schedules and respond to customer service issues as they arise.
- Use telephones, two-way radios, or text messaging to maintain communication with drivers.

Education and Experience:
- Freight industry experience +2 years (is must)
- Experience in freight forwarding operations processes and procedures.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
Work authorization/security clearance requirements:
- Must be eligible to work in the United States
- Must pass TSA eligibility screening.
