RESPONSIBILITIES

  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and specialized software for bookkeeping purposes
  • Schedule appointments, manage calendars, and coordinate meetings to optimize team productivity
  • Arrange travel accommodations, including flights, hotels, transportation, and itineraries for business trips and conferences, ensuring efficiency and cost-effectiveness
  • Understand and evaluate regulatory compliance and assist enforcing all corporate food safety plans and standards
  • Assist with clerical duties such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail
  • Support office management activities including supply inventory, filing systems, and general administrative tasks to keep the office running smoothly

REQUIREMENTS

  • Proven experience in an office environment or as an administrative assistant with strong clerical skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications such as accounting programs, MRP/ERP, and WMS, Famous software experience is a plus
  • Exceptional phone etiquette with experience handling multi-line phone systems in a professional manner
  • Excellent communication skills, both written and verbal, with an impeccable attention to detail
  • Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment
  • Bilingual – fluency in both languages - English and Spanish, is required for the position
  • Flexibility and adaptability to thrive in a dynamic and rapidly changing environment
  • Analytical ability to gather, document, and summarize data
  • Previous experience in the agricultural environment is a plus but not required
  • Valid driver's license and a working vehicle which is properly insured

EXPERIENCE

  • Proven experience of at least 5 years as an assistant or similar role supporting senior executives.
  • Minimum of 3 years proficiency using software tools such as WMS, ERP, MRP, Famous Software knowledge is a plus
  • Minimum of 2 years management and supervisory experience.

Pay: $ $29.00 per hour

Expected hours: 40.0 per week
