The Patient Services Specialist is responsible for providing excellent customer service to patients while managing front desk operations. This role ensures a smooth patient experience by greeting patients, managing appointments, processing patient information, handling insurance verification, collecting payments, and assisting with day-to-day administrative duties.

RESPONSIBILITIES

  • Greet patients with a warm, welcoming smile and assist with the check-in process upon arrival.

  • Verify and update patient demographics, including personal information, contact details, and insurance coverage. This includes scanning all pertinent documents into the EMR for billing purposes.

  • Ensure all necessary forms are completed by patients, including new patient registration form, consent to treat form, financial policy, Patient's Rights, HIPAA forms, and insurance verifications.

  • Schedule, confirm, and reschedule patient appointments as necessary, ensuring efficient use of provider time.

  • Answer phone calls in a professional and courteous manner, directing inquiries to appropriate staff members.

  • Verify insurance eligibility through (IE) electronic systems and notify patients of co-pays or outstanding balances.

  • Process patient payments, including co-pays, deductibles, and outstanding balances, ensure accurate logging of payments and end of day reporting.

  • Assist patient billing inquiries and help with resolving any billing issues.

  • Assist with organizing patient flow, ensuring that patients are checked in and out of the clinic in a timely and efficient manner.

  • Maintain the front desk area, ensuring it is organized and well-stocked with necessary materials and supplies.

  • Provide general administrative support, including filing faxes, scanning, and data entry in the electronic medical record (EMR) system.

  • Ensure all patient records and documents are appropriately scanned and uploaded to the EMR system.

  • Manage and distribute patient messages, including prescription requests, appointment reminders, and other inquiries.

  • Maintain confidentiality of patient information in compliance with HIPAA and other regulatory standards.

  • Assist in maintaining a clean and welcoming clinic environment.

REQUIREMENTS

  • Education: High school diploma or equivalent
  • Experience: 1-2 years of experience in healthcare administration, customer service, medical receptionist or appointment scheduling.
  • Communication Skills: Strong verbal and written communication skills with a focus on customer service and a friendly demeanor.
  • Organizational Skills: Excellent time-management skills and the ability to manage multiple tasks simultaneously.
  • Technical Skills: Proficient in Microsoft Office Suite; experience with scheduling software eClinical preferred.

LOCATION: Glendale Arizona

TYPE: Full-Time, one-half day Saturday a month Mandatory
