Description:

Position Summary: The Office Support Coordinator is responsible for managing the procurement of equipment, services, supplies, and materials to support PSAL programs and office operations. This role delivers high-quality customer service to both the PSAL office and New York City public high schools. The Office Support Coordinator oversees procurement activities that support the implementation of PSAL sports events, championships, and related projects. Additionally, the Coordinator assists with planning and executing PSAL sports events, championships, and related projects which involve different external stakeholders. Performs related work.

Reports to: Office and Operations Manager

Direct Reports: N/A

Key Relationships: Works closely with Director of Procurement and Human Resources, Office and Operations Manager, PSAL staff including school Athletic Trainings, Coaches and PSAL community at large, NYCPS' central offices, vendors, and others as assigned.

Responsibilities

  • Collect and prepare information from the community to secure high-quality, cost-effective goods and services for PSAL programs, including uniforms, awards, transportation, and office supplies.
  • Coordinate functions among community organizations leading toward successful rollouts of community-based sports programs and events to benefit NYC residents at large.
  • Support the Senior Executive Director and leadership cabinet with administrative tasks and responsibilities.
  • Assist in developing and executing strategic initiatives and overseeing PSAL interscholastic sport programs.
  • Provide cross-functional support across departments to advance organizational goals and operations.
  • Ensure clear, consistent communication with internal and external stakeholders, including coaches, athletic directors, commissioners, supervisors, and principals, aligned with NYCPS and PSAL standards.
  • Collaborate with the Sports Information Director to create content for social media and related platforms.
  • Coordinate the vendor onboarding process, ensuring completion of documentation and accurate record-keeping.
  • Ensure compliance with NYCPS Standard Operating Procedures and purchasing thresholds; liaise with NYCPS offices on procurement policies and contract management.
  • Prepare, monitor, and certify purchase orders using the Financial Accounting Management Information System (FAMIS) and other tracking systems; ensure sufficient funds are encumbered
  • Work in conjunction with the Division of Financial Operations Accounts Payable unit on purchase orders, certification of delivery of goods and services to ensure that vendors are paid in a timely manner.
