Job Overview
We are seeking a dynamic and highly organized Office Manager to lead the administrative operations of our busy office environment. This vital role involves overseeing daily office functions, managing schedules, supervising administrative staff, coordinating vendor relationships, and ensuring smooth communication across teams. Responsibilities

  • Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
  • Oversee calendar management for executives and team members, scheduling meetings, appointments, and events efficiently.
  • Supervise administrative staff, providing training, development opportunities, and ongoing support to foster a motivated team environment.
  • Coordinate vendor management activities, including negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining vendor relationships.
  • Handle bookkeeping and payroll tasks with accuracy, ensuring timely payments and proper recordkeeping.
  • Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting employee engagement initiatives.
  • Support budgeting efforts by tracking expenses, preparing reports, and ensuring adherence to financial guidelines.
  • Organize office supplies inventory, manage filing systems (both physical and digital), and ensure compliance with company policies.
  • Contribute to event planning for company meetings or special functions to promote team cohesion and morale.

Skills

  • Proven experience in office management or administrative roles within a professional setting.
  • Strong communication skills with the ability to interact effectively with staff, vendors, and visitors.
  • Excellent organizational skills with keen attention to detail in scheduling, filing, and recordkeeping.
  • Supervising experience with the ability to lead and motivate administrative teams.
  • Proficiency in QuickBooks for financial management; familiarity with bookkeeping software is a plus.
  • Experience with human resources processes including onboarding, payroll management, and employee relations.
  • Knowledge of medical office management or healthcare administration is advantageous but not required.
  • Ability to handle multiple priorities simultaneously while maintaining professionalism under pressure.
  • Familiarity with front desk operations and multi-line phone systems; strong phone etiquette is essential.
