Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Bilingual abilities are a plus, along with experience in office or medical reception settings.

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Schedule appointments and manage calendars using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain accurate records using QuickBooks or other office software
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Assist with office management tasks such as inventory tracking, supply ordering, and document proofreading
  • Provide customer support by addressing inquiries professionally and efficiently
  • Maintain a clean and organized reception area to ensure a welcoming environment
  • Support administrative tasks such as typing documents, proofreading, and managing office documentation

Qualifications

  • Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Familiarity with multi-line phone systems and phone etiquette
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual skills are highly desirable to assist diverse clientele
  • Experience with QuickBooks or bookkeeping is advantageous
  • Strong customer service skills with a professional demeanor
  • Attention to detail in proofreading and data entry tasks
  • Ability to manage time efficiently and handle multiple responsibilities simultaneously
  • Previous experience in administrative support or personal assistant roles is beneficial

Job Type: Full-time

Pay: From $21.00 per hour

Expected hours: 32 per week
