Position Summary
The Executive Assistant provides confidential, professional administrative support to the CEO and Executive team. This role performs a wide range of high-level administrative duties requiring exceptional organization, discretion, accuracy, and communication skills. The Executive Assistant serves as a key liaison between the executive office and internal leadership, the board of directors, credit union members, visitors, and vendors.
The ideal candidate is proactive, detail‑oriented, and able to manage multiple priorities while maintaining professionalism and confidentiality.
Key Responsibilities
Executive Support
- Provide a variety of administrative activities to support executive management, including research, report preparation, information gathering, and clerical support.
- Assist in scheduling and coordinating appointments, meetings, conferences, and business travel for the CEO, board members, and senior management.
- Maintain the CEO and executive team's calendar of events, meetings, and commitments, ensuring effective time management and prioritization.
- Keep the CEO informed of complaints, phone calls, correspondence, and other matters; ensure timely follow‑through on pending issues.
Board Support
- Assist with preparation of board materials, including agendas, meeting packets, minutes, and related documents.
- Record, prepare, and distribute board attendance records and meeting minutes.
- Duplicate, format, and disseminate materials for board meetings such as agendas, reports, and committee updates.
- Distribute informational mailings, articles, and updates to board members, management, and other stakeholders.
Administrative & Document Management
- Prepare reports, correspondence, manuals, spreadsheets, and other written communications with accuracy and professionalism.
- Compose, process, and sign standard letters for officers; ensure accuracy and appropriate tone.
- Maintain and update administrative records, policies, procedures, central files, and required reports.
- Coordinate and assist with preparation for all CEO‑related meetings and internal events.
- Assist with preparation of the executive team meetings and events.
Qualifications
- Previous experience supporting executive-level leadership preferred.
- Strong written and verbal communication skills.
- High degree of professionalism, confidentiality, and discretion.
- Proficiency with Microsoft Office Suite and Adobe programs; ability to learn internal systems.
- Strong organizational and time‑management skills with the ability to prioritize multiple tasks.
- Excellent attention to detail and follow‑through.
Job Types: Full-time, Part-time
Pay: $ $26.50 per hour
Expected hours: 32 – 40 per week
