Job Summary
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative, bookkeeping, and team management skills, with experience in event planning, vendor relations, and human resources. This role requires excellent communication and organizational skills to ensure smooth office functioning and accurate financial management. The Office Manager / Bookkeeper will play a key role in supporting the team, managing schedules, and maintaining efficient office procedures.
Responsibilities
- Oversee daily office operations, including front desk management and multi-line phone systems
- Manage calendar scheduling for staff and appointments, ensuring efficient time management
- Handle bookkeeping duties using QuickBooks, including invoicing, expense tracking, and financial reporting
- Assist with payroll processing and human resources functions such as onboarding and employee records management
- Coordinate vendor relationships, negotiate contracts, and manage procurement processes
- Plan and organize events, meetings, and training sessions for staff development
- Supervise administrative staff and provide training & development opportunities
- Maintain filing systems, ensure document accuracy, and manage record retention
- Oversee medical office management tasks if applicable, including patient scheduling and record keeping
- Ensure effective communication across departments through phone etiquette and clear correspondence
- Support budgeting processes by monitoring expenses and preparing financial summaries
Qualifications
- Proven experience in office management, bookkeeping, or administrative roles with clerical or medical office experience preferred
- Strong proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook)
- Demonstrated experience in event planning, vendor management, and schedule coordination
- Supervising experience with team management capabilities
- Knowledge of human resources functions including payroll processing and employee records management
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills with professional phone etiquette and interpersonal abilities
- Experience with office systems such as multi-line phone systems and calendar management tools
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Prior experience in budgeting, filing systems, training & development is highly desirable
