In light of this, we're eager to bring on a Project Coordinator to support execution across our evolving project portfolio.

What You'll Do

This is a hybrid Project Coordinator position based in Oakland, CA. The Project Coordinator supports the day-to-day execution of Emergent Labs' transportation equity and community-centered planning projects by coordinating timelines, deliverables, schedules, and communications across multiple active engagements, with occasional travel throughout the Bay Area and, at times, across California for partner meetings and community engagement activities.

Working closely with the Project Manager, this role organizes project resources, facilitates meetings and stakeholder coordination, tracks progress against workplans, maintains clear documentation and status updates, and flags risks or issues as they arise. You will help translate project plans into action across corridor improvements, community engagement efforts, transportation equity initiatives, and clean mobility work, keeping teams aligned and deliverables moving forward.

Key Responsibilities

Equity-Centered Project Support

  • Support data collection, engagement documentation, and feedback synthesis for individual projects
  • Assist with organizing and reviewing technical planning inputs such as maps, design concepts, datasets, and consultant materials
  • Help ensure equity considerations are embedded in project activities, technical materials, and final outputs

Project Coordination & Execution

  • Track project timelines, milestones, and deliverables across multiple projects
  • Maintain workplans, task lists, and schedules to support on-time delivery
  • Coordinate meetings, agendas, notes, and follow-ups

Resource & Deliverable Management

  • Organize project files, documentation, and shared folders
  • Track inputs from internal team members, consultants, and partners
  • Support preparation of reports, presentations, and draft deliverables

Stakeholder & Engagement Support

  • Coordinate logistics and communications with clients, partners, and community stakeholders
  • Support community engagement activities, including scheduling, materials, and follow-ups
  • Ensure timely communication tied to project milestones and deliverable expectations

Progress Tracking & Reporting

  • Monitor project progress and flag risks or delays early
  • Support development of project updates and status reports
  • Assist with documentation needed for client reporting and internal review

What We're Looking For

  • 2+ years of experience supporting or leading project coordination and delivery
  • Strong organizational skills with the ability to manage timelines, tasks, and multiple deliverables at once
  • Clear, thoughtful communicator who can collaborate effectively with internal team members, consultants, partners, and community stakeholders
  • Comfortable working in Google Workspace and project tracking tools to keep work organized and moving forward
  • Adaptable and solutions-oriented in a fast-moving project environment
  • Interest in transportation planning, transportation advocacy, urban planning, community engagement, or equity-centered work
  • Commitment to equity, inclusion, and cultural awareness in both process and outcomes
  • Bachelor's degree in a related field preferred, or equivalent professional experience
  • Experience supporting projects in transportation, planning, advocacy, design, or community development is a plus
  • Spanish language proficiency is a plus

Benefits and Compensation

  • Hours:

30–35 hours per week
- Compensation:

$28–$32/hour, commensurate with experience
