ABOUT ROLE

United Landscape is a fast-growing landscape construction company. Our ownership and leadership team is highly engaged in execution and needs a strong, detail-oriented office assistant who can support multiple departments, including operations and sales. This position will have direct exposure to ownership and leadership members. It is a stable, full-time position with growth potential.

This is not a passive clerical role. It requires business awareness, follow-through, and comfort working across departments. This role sits at the center of the business ensuring sales inquiries are captured, bids are tracked, and all paperwork is fully completed.

KEY RESPONSIBILITIES

Administrative & Executive Support

  • Provide daily administrative support to ownership and management by managing correspondences, preparing reports, and handling confidential information with discretion

  • Manage calendars, meetings, notes, and follow-ups

  • Perform data entry tracking various items as assigned

  • Organize and maintain digital and physical records and assist with clerical duties as assigned

  • Will serve as a backup with answering phones, scheduling irrigation repairs, backflow tests, and applying for permits when needed

Sales & Front-End Support

  • Track sales leads, bids, and estimates from intake through close

  • Maintain and update CRM or sales tracking systems

  • Follow up internally to ensure bids are sent, reviewed, and updated

  • Support tracking of number of bids submitted, close rates, upsells, and customer follow-ups

  • Assist with gathering information needed for estimates and proposals

  • Gather and prepare all submittal information

This role does not close sales, but it does protect the sales process.

Operations & Workflow Support

  • Assist with work order intake and scheduling coordination

  • Ensure job packets, checklists, and paperwork are completed and submitted on time

  • Communicate with the COO to collect missing information

  • Support implementation and maintenance of SOPs and workflow tools

  • Help track job progress and close-out documentation

Reporting & Accountability

  • Help prepare reports for weekly management meetings when needed (MAM)

  • Track KPIs related to sales, operations, and administration

  • Maintain trackers, dashboards, and follow-up lists

  • Ensure deadlines and commitments are not missed

REQUIRED QUALIFICATIONS

-All applicants must be able to pass a background check and drug test.

  • All applicants must have proven experience in an office assistant, administrative, operations, or sales support role

  • All applicants must be proficient with Microsoft Office (Excel, Word, Outlook) and Google Workspace

  • Comfort working with sales processes, tracking bids, and managing inquiries

  • Strong time management and organizational skills with follow-through

  • Strong attention to detail with the ability to manage multiple priorities effectively

  • Clear written and verbal communication skills

PREFERRED QUALIFICATIONS

-Experience in construction, landscaping, or trade-based businesses

  • Familiarity with estimating workflows, job costing, or service scheduling

  • Experience supporting leadership teams in a growing company

  • Comfort working in a metric-driven, accountability focused environment
