A Clinical Manager for our Clinic in Escondido, supervises the day-to-day activities of a healthcare facility by handling both medical and administrative tasks. Their main duties include developing and managing budgets, creating schedules for other employees, and hiring and training new team members. The Clinical manager oversees the daily operations of the office to run it smoothly, economically and on time, by ensuring that doctors and staff schedules are in place. The Clinical manager is responsible in meeting productivity objectives of doctors and staff as prescribed by the Management, implement company's policy and procedure, Mentor and teach new staff. The Clinical Manager is responsible for the overall daily management of the clinic. Will monitor and coach staff to meet productivity levels. The clinical manager ensures operational standards are met while delivering superior performance and an exceptional customer experience. Will collaborate with the leadership team to guide and support departmental needs.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Follow and manage the office schedules as directed by Management office, workflow, and office staff assignments to maximize the efficiency of patient flow and quality of care daily.
  • Monitor and ensure Clinical employees meet productivity while provide excellent patient care experience.
  • Be available when the first patient arrives and make sure to stay until the clinic is stable or until the physician is done with the clinic. Be present to monitor staff productivity and evaluate staff performance.
  • Ensure the Ophthalmic Technicians / Diagnostic Techs are equipped to assist the doctors with thorough training and follow the protocol.
  • Implement Company's Policies and Procedures to meet productivity objectives of staff and optimize patient care.
  • Submit requests for supplies in a timely manner to always maintain adequate inventory levels of all necessary medical and office supplies. Ensure that all supplies are stored in a safe and organized fashion. Ensure Stock is rotated to prevent expired drugs.
  • Audit 5-10 Surgery charts weekly and met with staff accordingly to address issues.
  • Responsible for staffing Scheduling and Approving Timecard and time off Request
  • Keep clinic moving, rooms patients as need. Coach tech to move faster if needed. Ensure doctors have minimal wait time between patients.
  • Ensure Optical Program is managed properly to include maintaining frameboards, ordering frames & supplies as needed, and tracking patient orders.
  • Regularly review productivity and workflow with staff to make manpower adjustments as needed.
  • Conduct team huddles and address patient concerns.
  • Report problems: IT, phone, cameras, lasers, and all other equipment
  • Keep updated knowledge of regulatory compliance with healthcare industry and ensure all federal and state laws/ guidelines are followed (eg OSHA, CLIA, HIPPA, FMLA)
  • Help to optimize staff Morale
  • Maintain and ensure the protocol for office opening and closing
  • Provide monthly evaluation of all equipment, IT infrastructure, cleaning routine maintenance, and repairs. Report it to VP of operations.
  • Maintain all staff workhours, conduct new hire evaluation at 30, 60, and 90 days and annual evaluation along with VP of Operations for consideration of Raise/ Promotion
  • Service as a point of contact for all staff concerns. Assist in conflict resolution and report all incidents to VP of Operations.
  • Respect confidentiality and privacy of staff concerns and personal information
  • Ensure adherence to employee handbook and employee policy manual.
  • Reports request for disability, sick leave and FMLA
  • Follow company policy for implementing disciplinary action, attendance coaching
  • Conduct monthly meetings with staff, address negative feedback with staff as needed, optimize positive review generation.

Qualifications and Skills:

  • Excellent interpersonal and communication skills with staff, patients and physicians
  • Extremely high standard with a passion for excellence, integrity and efficiency
  • Excellent management, leadership, and organizational skills
  • Excellent attention to detail
  • Ability to triage problems and patient medical conditions, intelligently delegate responsibilities and ensure proper execution
  • Strong working knowledge of Medicare, Medical and third-party insurances, and authorizations
  • Experience in an ophthalmology setting,
  • Willingness check and reply to emails within 2-3 hours in most situations
  • Willingness to be available for urgent staff and physician calls
  • Willingness to work evening and weekends or holidays on occasions
  • Manage inventory months and report to finance
  • Able to audit and identify candidates for surgery bookings
  • Experience in auditing MDI patients encounters and giving coaching/feedback to employees
  • Knowledge of billable codes ICd10 codes/CPT codes
  • Demonstrated ability to supervise, motivate and coach staff
  • High level of integrity; ability to maintain confidentiality. Able to exercise maturity and sound judgment
  • Excellent written and verbal communication skills. Solid understanding of English grammar, vocabulary and punctuation
  • Detail oriented, self-motivated, and proactive with the ability to execute tasks with minimal instructions
  • Excellent time management skills with the ability to manage multiple tasks with strict timelines
  • Ability to work independently and as a member of cohesive, results-oriented team
  • Team player with strong organizational skills
  • Computer literacy advanced MS Office/ Excell Skills
  • Ability to read and interpret document including process, procedure and manuals
