Havana-based Land Services & Highway Construction Company is seeking a detail-oriented, dependable, and teachable Administrative Coordinator to support the Vice President of Administration across Finance, Human Resources, and Operations.
This is a full-time, in-office role offering hands-on exposure to the inner workings of a growing highway maintenance and construction company.
The position is ideal for someone who thrives in a structured environment, enjoys supporting multiple departments, and is eager to develop professionally under direct mentorship.
Key Responsibilities
Finance & Administrative Support
Review and route employee credit card charges within the company's expense management system
Enter and track accounts payable invoices; coordinate vendor communications and resolve discrepancies
Assist with purchase orders, supply ordering, uniforms, and office inventory
Support basic accounts receivable tasks as needed (invoice tracking, documentation support)
Maintain organized financial and administrative records (digital and paper)
Human Resources & Payroll Support
Assist with pre- and post-payroll processes (timecard review, documentation, reporting support)
Support benefits administration, enrollments, and employee changes
Coordinate hiring logistics: pre-screen candidates, schedule interviews, and assist with onboarding
Assist with employee files, compliance documentation, and HR recordkeeping
Support implementation and administration of employee training, onboarding, and performance review programs
Operations & Office Coordination
Serve as an administrative support point for field and office staff
Assist with company events, safety meetings, quarterly meetings, and internal communications
Help implement and maintain company policies, procedures, and process improvements
Maintain organized cloud-based and physical filing systems
Ensure confidentiality of employee, company, vendor, and client information at all times
Soft Skills & Core Competencies
Ability to prioritize tasks independently and escalate questions appropriately
Strong attention to detail and follow-through
Professional written and verbal communication (excellent spelling and grammar required)
Collaborative mindset and willingness to work cross-departmentally
Comfort working within a structured operating system (Traction/EOS methodology)
Qualifications
High school diploma or equivalent (associate's degree preferred but not required)
Proficiency in Microsoft Office Suite and Adobe Acrobat (including fillable forms and e-signature workflows)
Strong organizational and time-management skills
Ability to learn quickly, take direction, and adapt to changing priorities
Prior office or administrative experience preferred but not required
Valid driver's license with acceptable driving record
Growth & Development
This position is intentionally designed as a developmental role. With mentorship and hands-on experience, the Administrative Coordinator will gain exposure to Finance, HR, and Operations. Over time, the role may evolve into a more specialized position aligned with the employee's strengths.
Support for relevant certifications in Finance or Human Resources may be offered.
