About the Role:

The Receptionist serves as the first point of contact for clients, visitors, and employees, playing a crucial role in creating a welcoming and professional environment. This position is responsible for managing multi-line phone systems efficiently, ensuring all calls are answered promptly and directed to the appropriate personnel. The Receptionist will perform a variety of general administrative duties, including greeting clients, handling correspondence, and maintaining office organization. By managing multiple phone lines and operating office equipment such as copy machines, the Receptionist supports smooth daily operations. Ultimately, this role contributes significantly to the overall efficiency and positive image of the organization within the United States.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Bilingual - Spanish
  • Proven experience as a receptionist or in a similar administrative role.
  • Proficiency in managing multi-line phone systems.
  • Strong phone etiquette and communication skills.
  • Basic knowledge of office equipment such as copy machines and fax machines.

Preferred Qualifications:

  • Experience with scheduling software and office management tools.
  • Additional training or certification in office administration.
  • Familiarity with general office software such as Microsoft Office Suite.

Responsibilities:

  • Answer and manage multiple phone lines with professional phone etiquette, directing calls appropriately.
  • Greet and assist clients and visitors in a courteous and professional manner.
  • Perform general office duties including filing, copying, and maintaining office supplies.
  • Schedule appointments and maintain calendars as needed.
  • Handle incoming and outgoing mail and correspondence efficiently.
  • Maintain a clean and organized reception area to ensure a welcoming environment.
  • Coordinate with other departments to facilitate smooth communication and workflow.
