Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Community Manager and help ensure effective governance, clear communication, and well-run meetings for our community associations. This role plays a critical behind-the-scenes role in meeting preparation, documentation, voting coordination, and follow-through.
This is an excellent opportunity for someone with strong administrative skills who enjoys organization, documentation, and working collaboratively across teams. Attending evening meetings is required.
Key Responsibilities
Board, Annual & Special Meeting Support
- Prepare, proof, and distribute meeting notices and agendas for Annual Meetings, Special Meetings, and regular/open Board meetings
- Prepare and carefully proof Annual Meeting notices, ballots, proxies, and related materials to ensure accuracy and compliance with governing documents and applicable requirements
- Coordinate meeting logistics, scheduling, and required postings
- Oversee electronic voting, including setup, monitoring deadlines, coordinating with vendors or platforms, and assisting with vote tabulation and reporting
Meeting Minutes & Documentation
- Attend meetings as assigned and transcribe accurate, professional meeting minutes
- Finalize and post approved minutes to the homeowner portal in a timely manner
- Maintain organized digital records of agendas, minutes, ballots, and voting results
- Action Item Tracking & Coordination
- Track Board motions, decisions, and open action items. Maintain and update an action-item log
- Work with internal departments (compliance, accounting, architectural control, maintenance, etc.) to gather updates and supporting information
- Proactively provide the Community Manager with details and status updates needed to run effective meetings
Administrative Support
- Assist with general administrative tasks and official Association communications
- Support timely and accurate information flow between the Board, management, and internal teams
- Serve as a professional internal point of contact for Board-related coordination
Pay: $ $24.00 per hour
Expected hours: 40.0 per week
